1. Information We Collect
- Name, address, date of birth, contact details, and account information
- Numbers required for phone number verification, and the date, time, and result of verification
- Where identity verification is performed: identity documents, verification results, and records required by law
- Assigned numbers, calling and called parties, dates and times, durations, results, and other call and fax metadata
- Audio, fax content, attachments, and related information that users request to be stored or transmitted
- Information on price plans, billing, payments, and point usage
- IP address, device, browser, cookies, operation history, and failure and security logs
- Inquiry content and response history
- Usage records of Linked Software (AI agents and similar software authorized by the user): date and time of operation, identifier of the Linked Software, type of operation, destination number and other summary of the operation, and result
2. Purposes of Use
- Registration for the Service, verification of identity or phone numbers, and provision and maintenance of the Service
- Processing of calls, faxes, voicemail, storage, billing, and support
- Detection, investigation, and prevention of unauthorized use, nuisance communications, failures, and security incidents
- Responses based on laws, contracts, and arrangements with telecommunications carriers
- Improvement of the Service, analysis of usage, and important notices
- Delivery of advertisements and information about the Company's services, and measurement of advertising effectiveness and optimization of delivery using access-analysis tools
- Selection of advertisements and content to display based on analysis of user attributes and usage (identifiers such as cookies are used; see "10. Cookies and Similar Technologies" for details)
3. Secrecy of Communications and Communication Content
In light of the secrecy of communications and other applicable laws, the Company limits access to communication content and communication-related information to the scope necessary for providing the Service, responding to user requests, handling failures, responding to security incidents, or complying with law. Staff privileges are kept to the minimum necessary and access is logged.
4. Provision to Third Parties
The Company does not provide personal data to third parties except with the consent of the individual, where required by law, where necessary to protect a person's life, body, or property, or in other cases permitted by law.
Where a user authorizes Linked Software to retrieve sent or received files or histories, that information is transmitted to the provider of the Linked Software at the user's instruction. This is a transmission by the user and does not constitute provision to a third party by the Company.
5. Outsourcing
The Company may outsource operations such as cloud storage, network interconnection, identity verification, payment processing, email delivery, monitoring, and customer support to external providers. Contractors are selected based on necessity, security management, and contractual conditions, and are supervised as required.
6. Handling Outside Japan
Where personal data is handled by providers or facilities located in foreign countries, the Company will, in accordance with applicable laws, provide information about the destination's legal system and protective measures and take other necessary steps.
7. Retention Periods and Deletion
The Company sets retention periods according to the purposes of use, contracts, price plans, statutory retention obligations, and the need to respond to disputes, and deletes or anonymizes information that is no longer needed using secure methods. Retention periods for audio and fax content are indicated on the contract screens or price plans.
Usage records of Linked Software are retained for one year from collection and then deleted.
8. Security Measures
The Company implements organizational, human, physical, and technical security measures, including access control, encryption, log management, vulnerability response, backups, contractor supervision, and incident response. Details will be explained upon request from the individual, except for matters that cannot be disclosed under law.
9. Requests for Disclosure and Other Actions
Individuals may, as provided by law, request notification of the purposes of use, disclosure, correction, addition, deletion, suspension of use, erasure, or suspension of provision to third parties of retained personal data. For request procedures, identity verification methods, and fees, see "Procedures for Disclosure and Other Requests".
10. Cookies and Similar Technologies
The Company may use cookies and other identifiers to maintain login state, for security, and to improve the Service. At present, no external analytics or advertising services are used. On payment pages, information is transmitted to payment providers. For details of information transmitted from users' devices to external providers, see the "External Transmission Policy".
11. Minors
Only persons aged 18 or over may register to use the Service. Persons under 18 may not use the Service.
12. Revisions
The Company will revise this policy in response to changes in laws or in how information is handled. Material changes will be announced on the Service or by other appropriate means by the effective date.
